2A. [For Voice Mailbox users and Answering Service users who have a Telephone Number associated with their Mailbox.] When the system answers press "9" followed by your security code (or the default security code "1-2-3-4-#", if you have not changed it). The system will then play an introductory recording. 2B. [For Custom Auto-Answer Users who DO NOT have a Telephone Number associated with their Mailbox.] When the system answers, (unless you have been given an alternative procedure or security code) enter your mailbox number, followed by "#" and the default security code "1-2-3-4-#". The system will then play an introductory recording. 3. You will be transferred to the Check-in menu. From the Check-in menu enter "8" for the User Options Menu. 4. From the options menu you will need to do the following to set up your new voice mailbox:
LISTENING TO MESSAGES THAT YOU HAVE RECEIVED: 1. Call your voice mailbox number. When the system answers with your outgoing message press "9" to stop the announcement and to enter your mailbox. 2. Enter your security code followed by the "#" key. The system will tell you if and how many new/saved messages you have. 3. Press "7" to Play any messages that have been recorded. At the end of each message you will be prompted to press "3" to Delete the message, "5" to Keep the message, "7" to Replay the message, or "4" to Give the message to another mailbox user. Your messages will automatically continue in succession until you have heard all messages or hang up. 4. Continue listening to any messages that have been recorded. When you are finished listening to your messages press "9" to eXit and hang up. Other options are available and are described by the system. 5. If you wish to Answer a Message that you have received from another mailbox subscriber, press "2" to Answer. The system will prompt you for a comment that will preface the message that you just received. Both your comment and the original message will be sent back to your caller. Other options are available and are described by the system. 6. If you wish to copy a message that you have received to another mailbox subscriber, along with a preface, press "4" to Give it to another mailbox. The announcer will prompt you to begin speaking to record the preface. Press the "#" to pause and then press "4" to Give the message to the subscriber. You will be prompted to enter the mailbox number or you may use a distribution list number. Press "#" to end. Press "4" to Give the message. Other options are available and are described by the system. HERE ARE • If you wish to skip through your messages, press "7" to Play your messages. As soon as the message begins to play press "5" to Keep the message and begin the next message. • You don't need to listen to an entire message. If you press the "3" key you will delete the current message and move on to the next message. • While listening to a message you can press "*" to rewind. • While listening to a message you can press "#" to fast forward.
CREATING A VOICE MAIL MESSAGE 1. Call your voice mailbox number listed on the first page of these instructions. When the system answers with your outgoing message press "9" to stop the announcement and to enter your mailbox. 2. Enter your security code followed by the "#" key. The system will tell you if and how many new/saved messages you have. 3. Press "5" to Leave or create a voice mail message. The system will record your message. When you are done press the "#" key to pause. Press "4" to Give or send the message. Other options are available and are described by the system. 4. Next enter the mailbox number (or distribution list number) of the person who is to receive your message followed by the "#" (pause) key. 5. The system will play the name of the recipient. Press "5" to Leave the message for that person. Other options are available and are described by the system. 6. If you wish to send the message that you have already recorded to another person, or persons, press "4" to send and then continue as in #4 above until all persons have received your message. 7. When you are done sending your message press "9" to discard the message that you have recorded and to eXit to the main menu. If for some reason you wish to keep a copy of the message you have sent in your own mailbox you may press "5" which will Keep the message and eXit to the main menu. ADVANCED VOICE MAIL TECHNIQUES AND OPTIONAL SERVICES 1. Future Delivery of Messages: Future delivery of messages, which is an optional service available for an additional monthly fee, allows you to send a message to another mailbox [or even YOUR OWN -- perhaps as a reminder] at a date in the future. You can record a message for future delivery or designate an existing message to be delivered in the future. The delivery date consists of a month and day, entered numerically. The delivery is always done at 8:00 a.m. on the day specified. Delivery dates can be set for up to one (1) year in advance. If you enter the number of a month that is lower than the current month, the message will be delivered in that month in the next year. From the main menu press "5" to create voice mail or "7" to Play an existing message. After you finish recording or playing press "6" for Message Addressing Options. Then press "3" to Forward the message in the future. Enter the month number (1-12), then press "#". Next enter the day of the month (1-31) and then press "#". After providing the mailbox or distribution list information you will confirm by pressing "5". Then press "9" to delete and eXit or press "5" to save a copy in your mailbox and eXit. Other options are available and are described by the system. 2. Return Receipt: Return Receipt is a way for you to tell when other mailbox customers have listened to the voice messages you send them. Return Receipt informs you whether a message has been played, when, and by whom. Return Receipt can be used with new or existing messages. The critical step is to keep a copy of the message in your mailbox. The copy is used to tell you when the message was sent, who has listened to it (and when they listened to it!), and who has not yet played it. If no one has listened to it, the announcer will review whom it was sent to. If everyone has listened to it, the names will be listed individually. To use Return Receipt record a new message or play an existing message as you normally would. Keep a copy for yourself by pressing "5" to keep and eXit. The system bases its receipt function on the kept message. To use Return Receipt simply play the message you have saved. During or after playing press "8" to listen to the Return Receipt information. If not all recipients have listened to the message you should keep the message (#5) in your mailbox so you can check again. 3. Marking a Voice Message as Urgent Subscribers can mark a voice message as urgent. Urgent messages will be presented first to the recipient before routine new messages. The message will also be announced as urgent before being played. From the main menu press "5" to create voice mail. After you finish recording or playing press "6" for Message Addressing Options. Then press "8" to mark your message as urgent. Then press "4" to Give or send the message as usual. After providing the mailbox or distribution list information you will confirm by pressing "5". Then press "9" to delete and eXit, or press "5" to save a copy in your mailbox and eXit. Other options are available and are described by the system. 4. Marking a Voice Message as Confidential When a subscriber marks a message as confidential, it may not be copied to another mailbox. The message is identified as confidential only when an attempt to copy it is made. Clients can also let their outside callers mark messages for them as confidential by prior arrangements with the System Administrator. From the main menu press "5" to create voice mail. After you finish recording or playing press "6" for Message Addressing Options. Then press "2" to mark your message as Confidential. Then press "4" to Give or send the message as usual. After providing the mailbox or distribution list information you will confirm by pressing "5". Then press "9" to delete and eXit, or press "5" to save a copy in your mailbox and eXit. Other options are available and are described by the system. 5. Distribution Lists A Distribution List copies a voice message to a preset list of mailbox users. You must set up your Distribution List(s) in advance. Then new messages, and existing messages with comments appended, can be distributed. From the main check-in menu press "8" for User Options. Select "3" to Edit Distribution Lists. Next enter a number from 1 - 9 for the distribution list you wish to set up. Typically the first available number is chosen. You can then press "2" to Add a mailbox, "3" to Delete a mailbox, "5" to List mailboxes, or "7" to Record a list name. The system will prompt you through each option above. 6. Help Menus Descriptions of voice keys, and the commands they perform, are available from many voice menus. At a help-equipped voice menu press "0" for assistance.
